Copilot vs Gemini: Is Copilot Worth It When Gemini Is Bundled?
Is Copilot worth $23.50/seat when Gemini comes with Workspace? Equivalent plans, annual cost for 5 and 10 seats (Oct 1, 2026), prompts and a decision tree.

Short answer: if your team already runs on Outlook, Excel, and Teams, adding Copilot to Microsoft 365 usually makes more sense than switching suites to get "free" AI. If you're starting fresh, or you already use Gmail and Google Drive, Google Workspace Business Standard includes Gemini at no extra charge, and you may not need to pay anything more for AI. If all you want is an AI chat for drafting, Microsoft lets you use Copilot Chat with your work account without buying a Copilot license.
This guide is for US small businesses with 1 to 50 seats asking one question: is Copilot worth paying for per seat when Gemini comes bundled with Workspace? All prices are in USD, excluding sales tax, and were checked on Oct 1, 2026 on Microsoft's and Google's official pricing pages. Prices and new-customer promos change often, so confirm at checkout. There's also a Spanish edition written for Spain-based businesses, with euro pricing and a GDPR section.
What each one includes for email, docs, spreadsheets, and meetings
The two vendors package AI in different ways:
- Microsoft sells Copilot separately. You can buy a bundled plan "with Copilot" (for example, Microsoft 365 Business Standard with Copilot) or add Microsoft 365 Copilot Business to an existing Business Basic, Standard, or Premium plan (up to 300 users). Without that license, anyone with a work account can still use Copilot Chat. The paid license adds Copilot inside the apps and the prebuilt agents.
- Google bundles Gemini. In January 2025, Google announced that it was adding Gemini to Workspace Business and Enterprise plans, ending sales of the Gemini Business and Gemini Enterprise add-ons, and raising plan prices. Its Help Center says the same.

A note on Business Starter: on Google's pricing page, Starter lists only "Gemini AI assistant in Gmail" and the Gemini app. Gemini in Docs, Meet, and the other apps starts at Standard, which is why this guide compares against Standard.
Real per-seat prices and annual cost for 5 and 10 seats
The table compares equivalent plans only: each vendor's "standard" suite with AI inside the apps. Prices are per user per month, excluding sales tax, checked Oct 1, 2026.

That puts the Copilot premium at about $114 per seat per year on annual plans: $570 a year for a team of 5 and $1,140 for a team of 10. Whether that's worth it depends less on the AI than on where your team already works. Moving mailboxes, files, Excel models, and accounting integrations to a new suite takes real hours, and those hours usually cost more than the license gap.
Already on Microsoft 365? The Microsoft 365 Copilot Business add-on lists at $21.00 per user per month (paid yearly). On Oct 1, 2026, Microsoft showed a lower promotional price with no end date on the page, so check the exact figure at checkout. You don't have to license everyone. Start with the two or three people who handle the most email and spreadsheets.
When Microsoft 365 Premium is worth it
Microsoft 365 Business Premium with Copilot costs $32.00 per user per month (annual, paid yearly): $1,920 a year for 5 seats and $3,840 for 10. It isn't the equivalent of Workspace Business Standard, and it isn't an AI upgrade. What it adds is security: advanced identity and access management, stronger protection against phishing and malware, and discovery and protection of sensitive data. It's worth it if you handle regulated client data (healthcare, legal, finance), if your staff use their own laptops, or if you need central device management. Otherwise, Standard with Copilot is the fair comparison.
Four tasks, one prompt each
We haven't run controlled tests, so this section has no scores and no "X does it better." It describes what each tool does with the same prompt. Run the prompts during each vendor's free trial, using your own email and files.
1. Summarize a long email thread. Copilot summarizes the open thread inside Outlook. Gemini does the same from the side panel in Gmail.
Summarize this thread in 5 bullets: what the client is asking for, what we've promised, committed dates, open questions, and the next step. If something is missing, say so instead of guessing.
2. Draft a quote. Copilot in Word and Gemini in Docs draft from your notes and can use one of your files, like last month's quote, as a reference. Always check the numbers yourself.
Draft a quote for [client] for [service] with these line items: [list]. Follow the format of [previous quote file]. Add net-30 payment terms and a 15-day validity, and put the amounts in a table. Don't invent prices: mark any missing one as [TBD].
3. Analyze a spreadsheet. Copilot in Excel and Gemini in Sheets answer questions about your data, suggest formulas, and build tables or charts. Both work best when your data is formatted as a table with clear headers.
Using this sales sheet, list our top 5 customers by revenue this quarter, the change versus last quarter, and which product declined the most. Show the formula you used so I can check it.
4. Meeting notes. Copilot in Teams and Gemini in Meet produce notes and action items from a meeting once transcription or note-taking is turned on. Tell attendees before you record. Some states require everyone's consent.
From this meeting, create notes with: attendees, decisions made, action items with owner and due date, and open topics for next time. Keep it brief and don't attribute opinions that aren't in the transcript.
Privacy and data
- Microsoft: prompts, responses, and data accessed through Microsoft Graph aren't used to train foundation models, according to its Copilot privacy documentation.
- Google: your Workspace content isn't used to train models outside your domain without permission, according to its generative AI privacy commitments.
Decision tree
- Does your team work in Outlook and Excel every day, or depend on Excel models and macros?
- Yes: stay on Microsoft 365. Try free Copilot Chat first, then license Copilot only for your heaviest users.
- No: go to step 2.
- Are you already on Gmail and Google Drive?
- Yes: move from Starter to Business Standard if needed. Gemini is included and there's no AI line item to pay.
- No, you're starting fresh: go to step 3.
- Do your clients and your accountant mostly send Word and Excel files?
- Yes: Microsoft 365 with Copilot avoids formatting friction.
- No: Workspace Business Standard is the cheapest way to get AI inside your apps.
- Do you handle regulated data or unmanaged devices? Look at Microsoft 365 Business Premium with Copilot or a higher Workspace tier. That's a security decision, not an AI one.
Checklist before you buy
- I compared equivalent plans (Workspace Business Standard vs. Microsoft 365 Business Standard with Copilot), not an entry plan against Premium.
- I checked the final price at checkout, before and after sales tax, and I know whether it's annual or flexible billing.
- I know whether the price includes a temporary promo and what I'll pay after it ends.
- I ran the four tasks above on my own email and files during the free trial.
- I decided who needs a paid AI seat and who can get by with Copilot Chat or Starter.
- I reviewed shared-folder permissions, since AI will surface anything that's overshared.
