What a handoff pack is (and is not)

A handoff pack is one client-facing package that answers five questions:

  1. What did we deliver? (files, links, versions)
  2. How do they access everything? (logins, roles, who owns billing)
  3. How do they run it day to day? (short runbook, not a novel)
  4. What support window applies? (dates, channels, response times)
  5. What are sensible next steps? (maintenance, training, optional phase two)

It is not a dump of every Slack thread, every export, and every password in one email. It is a curated index plus pointers—security and sanity first.

When to send it

Send the handoff pack when:

  • Final invoice is ready or paid (your policy), and
  • You have a stable “final” folder or release tag, and
  • You have walked through the top three “how do I…?” tasks once.

If you already send a weekly status email, treat the handoff as the last status: outcome summary, open items closed, and explicit “project complete” language.

Step 1 — Inventory deliverables (30 minutes)

Open a blank doc or sheet. List every tangible output:

  • Final version vs working drafts (delete or archive drafts from the client folder)
  • Links that expire (Figma view-only, signed URLs)—note renewal steps

Step 2 — Access and ownership checklist (20 minutes)

Clients forget who owns the Stripe account. You forget to document it once. Build an access checklist:

Step 4 — Support window and boundaries (15 minutes)

Ambiguity causes scope creep after sign-off. Add a short Support & warranty section:

  • Start and end dates of included fix period
  • What counts as a bug vs new request (one sentence each)
  • How to reach you (email, ticket form) and expected response time
  • Hourly rate or retainer link for work after the window

ChatGPT can tighten legal-ish language, but you set the dates and prices.

Step 5 — Assemble the master doc in Google Docs (20 minutes)

Use one Google Doc titled ClientName — Project Handoff — YYYY-MM. Suggested outline:

  1. Project summary (2–3 sentences + outcomes)
  2. Deliverables index
  3. Access & ownership checklist
  4. Runbook
  5. Support & warranty
  6. Recommended next steps (maintenance, training, phase two—optional)
  7. Appendix: change log or links to scope doc if helpful

Set sharing to client domain or specific emails—not “anyone with link” unless policy allows.

Step 6 — Handoff email in Gmail (10 minutes)

Draft the email in ChatGPT, send from Gmail yourself:

not salesy. Include: link to the handoff doc, bullet summary of what's
inside, invitation to a 30-minute walkthrough, and clear support window dates.

  • No passwords in email or doc body—use client password manager instructions
